Case Study: From Zero In-country to Open to the Public in 90 Days
Souter Point personnel provided project management and mobilisation support to a major customer service organisation establishing operations in a new country on behalf of the Consulate-General of France in London, UK.
At contract award, the client had no legal entity, bank account, employees, or office infrastructure in the country, yet the new operation had to open to the public within 90 days. Souter Point personnel were the first on the ground and immediately took control of the project’s critical path.
The mobilisation covered every element required to establish a functioning operation. Souter Point led the creation of the local company, supported the opening of a bank account, sourced suitable premises, negotiated and completed the lease, appointed building contractors and oversaw the office fit-out through to operational readiness.
In parallel, we managed the recruitment of 30 new employees, including job advertising, candidate selection, interviews, onboarding and induction training. We planned and coordinated activities as an integrated mobilisation project, ensuring property, people, legal, financial, and operational workstreams progressed in parallel and dependencies were identified and actively managed.
The operation opened to the public on schedule, exactly 90 days after contract award.
On Day 1, the new office successfully served 100 customers, with volumes increasing to more than 400 customers within several weeks as operations stabilised and capacity ramped up.
The project also delivered a significant commercial benefit. Through disciplined cost management and sourcing an extremely competitively priced office lease, Souter Point helped bring mobilisation in 40% under the planned operational budget.
The assignment demonstrates Souter Point’s ability to combine structured project management with hands-on delivery, rapidly turning a contract award into a fully operational customer-facing service in a new market.
Case Study: Supporting a Third-sector Creative Talent Development Agency Startup a Project
After helping a third-sector creative talent development agency secure more than £600,000 in local authority funding from the North of Tyne Combined Authority by providing bid writing services, Souter Point was asked to turn the successful funding proposal into a fully structured project ready to hand over to a newly appointed Project Coordinator.
The programme covered eight work packages to be delivered over 24 months, including two work packages with multiple sub-work packages. Souter Point used the original funding proposal, together with interviews with the client’s management team, to translate high-level commitments into a practical delivery framework.
Using a PRINCE2 Agile-aligned approach, we created a complete suite of project management documentation, including detailed descriptions of the deliverables and responsibilities for each work package, an integrated project plan, delivery schedules, a communications plan and a governance plan.
The emphasis was on proportionality: providing enough structure to give the project clear controls, responsibilities, milestones and reporting arrangements without creating unnecessary administrative burden for a small delivery team.
The completed project documentation was successfully handed over to the new Project Coordinator as a ready-to-use management framework. Instead of spending their first weeks designing project controls and interpreting the funding proposal, they could focus on delivery from Day 1.
