Bid Blueprinting & Bid Writing
Structure first. Write second.

Strong bid responses are rarely created by simply starting with a blank page.
Before writing begins, Souter Point develops a detailed response blueprint that sets out what each answer must cover, how it addresses the evaluation criteria, and what evidence is required to substantiate it.
We start by analysing the question, procurement documents, evaluation methodology, word or page limits and relevant solution material. The response is then structured into logical sections and subsections, with detailed commentary explaining each section's purpose, key messages, solution content, evidence, differentiators, and supporting examples to include.
This creates a common framework for everyone contributing to the bid. Subject-matter experts know precisely what information is required, writers have a clear structure to follow, and bid managers can identify gaps before significant drafting effort has been invested.
When we are engaged to conduct bid writing, our approach is based on four principles:
Compliance + Evidence + Differentiation + Readability
Every response must answer the question, demonstrate that the proposed approach is credible, explain why it matters to the customer and make that information straightforward for an evaluator to find.
How we can help
Our Bid Blueprinting and Bid Writing services can include:
-
Question and evaluation analysis – identifying explicit requirements and the underlying information an evaluator needs to see;
-
Response architecture – creating a logical structure that makes complex answers easy to navigate and evaluate;
-
Content blueprinting – specifying the messages, solution detail, evidence and examples required within each section;
-
Evidence planning – identifying where claims require metrics, case studies, references or other substantiation;
-
Win-theme integration – ensuring relevant differentiators and customer benefits are incorporated naturally throughout the response;
-
Bid writing – converting the approved blueprint and subject-matter input into clear, concise and persuasive responses; and
-
Compliance and consistency – maintaining alignment with requirements, terminology, solution design and wider proposal commitments.
The result is a more controlled and efficient writing process, reducing late-stage restructuring and helping clients produce consistent, evidence-led responses that are designed around how bids will actually be evaluated.

Case Study: Blueprinting and Bid Writing for Successful £300m Contract with the Spanish Ministry of Foreign Affairs, European Union and Cooperation
When the Spanish Ministry of Foreign Affairs, European Union and Cooperation set out to reprocure a global visa application outsourcing contract, Souter Point was appointed by our client to perform bid blueprinting and bid writing services.
Bid blueprinting covered the full multidisciplinary bid requirements, including process, technology, human resources, security, logistics, and facilities, based on our client's current operating model, the Spanish government's new requirements, and the solution design work previously provided by Souter Point.
With a blueprint in place and agreed with our client, Souter Point wrote 80% of the total bid response, with the remaining 20% written by our client's technology partner.
Souter Point drafted the content in English, and our client's partner and external translators translated it into Spanish for submission.
Our client won this major global contract, scoring 60/60 for the quality of its technical bid response.
Case Study: Bid Writing Services Helps Client Win £1m+ in Arts Council England's National Portfolio Organisation Funding Round
When Arts Council England launched a recent National Portfolio Organisation (NPO) funding round, Souter Point was asked to support a Northeast England-based third sector organisation in the music industry to write its funding application. Our client had just experienced a leadership change and needed significant work on its NPO application, which was existential. If the NPO application was unsuccessful, our client would likely have to wind up.
Using our client's solution, differentiators and evidence as a basis, Souter Point provided bid writing services to ensure the funding application clearly addressed Arts Council England's requirements while showcasing our client in the best possible light. With several bid writers working on the NPO application, Souter Point also peer-reviewed content written by others, ensuring a single voice across the response.
The result was a successful NPO funding application and one of the largest awards to the organisation in its 30-year history, totalling more than £1m over three years. Since overcoming this challenge, our client has gone from strength to strength, expanding into other regions of the UK, signing deals with several major record labels to support its beneficiaries and inking touring agreements with organisations in Japan, all because of a successful NPO funding application that provided the basis to expand the organisation.
